Job Description

The Schenck School is a specialized school serving students with dyslexia in grades K-6. Students attend the school for a focused period of 2-3 years before transitioning to mainstream educational environments. POSITION OVERVIEW:  

The Assistant Director of Admissions serves as a primary support to the Director of Enrollment Management, capable of independently executing a significant portion of the admissions funnel. This role ensures that prospective families receive timely, professional, and welcoming responses throughout the admissions process. By managing screening logistics, applicant communications, and funnel coordination, the Assistant Director frees the Director for strategic planning, complex candidacy decisions, and referral network development. The Assistant Director ensures the smooth execution of the screening and evaluation process during the high-volume admissions season.

PRIMARY RESPONSIBILITIES:

Applicant Screening & Evaluation

  • Schedule screenings and prepare spaces to ensure a smooth, welcoming experience for students and families. Administer student applicant screenings following established protocols; coordinate teachers and screeners who support the screening process.

  • Score screening measures accurately and within 24 hours of administration to support student applicant evaluation.

  • Record screening results and observations in applicant tracking systems; maintain working files outside Ravenna to stage materials for Admissions Committee review.

  • Prepare screening packets and materials in advance of scheduled appointments.

  • Assist with classroom visits and applicant observations as needed.

Family Communication & Triage

  • Serve as a responsive point of contact for prospective family inquiries via phone and email.

  • Respond to all routine inquiries within 24–48 hours, consistent with the "Gold Standard."

  • Conduct initial triage of new inquiries, routing complex questions or candidacy concerns to the Director.

  • Schedule screening appointments and coordinate logistics with families.

  • Provide clear, warm communication that reflects Schenck's mission and values.

Tours & Campus Visits

  • Coordinate tour scheduling and logistics with the Enrollment Data Manager.

  • Conduct prospective parent tours; coordinate volunteer tour guides as needed.

  • Support group tour programming and welcome events as assigned.

  • Ensure tour materials and folders are up to date and well presented.

Applicant Tracking & Records

  • Coordinate with the Enrollment Data Manager on applicant records in Ravenna; review for accuracy.

  • Maintain internal tracking documents as applicants move through decision rounds.

  • Review new student welcome materials prepared by Enrollment Data Manager; prepare acceptance packets.

Admissions Operations Support

  • Coordinate the planning and execution of admissions events in partnership with the Enrollment Data Manager, including clerical and logistical preparation.

  • Prepare materials for Admissions Committee meetings.

  • Coordinate logistics for New Parent Party and new student orientation programming with Enrollment Data Manager support.

  • Manage screening inventory and order materials as needed.

  • Create screening letter templates and acceptance letters; coordinate distribution with Enrollment Data Manager.

Collaboration & Coordination

  • Meet regularly with the Director of Enrollment Management to review priorities, applicant pipeline, and upcoming deadlines.

  • Partner with the Enrollment Data Manager on Ravenna data entry, applicant linking to Blackbaud, and records management.

  • Communicate proactively when workload requires prioritization or when issues arise.

  • Participate in monthly Enrollment Management coordination meetings as needed.

QUALIFICATIONS:

Required

  • Bachelor's degree from an accredited institution.

  • Minimum 2 years of experience in an educational, admissions, or family-facing professional setting.

  • Comfort working with children and families in a professional setting.

  • Familiarity with students with learning differences and the families who support them.

  • Strong interpersonal, verbal, and written communication skills.

  • Demonstrated ability to manage multiple tasks and competing deadlines.

  • Excellent written and verbal communication skills.

  • Proficiency with database systems and standard office technology.

  • Ability to work independently with minimal supervision.

  • Attention to detail and commitment to accuracy.

  • Diplomacy and discretion in handling confidential student and family information.

Preferred

  • Previous experience in independent school admissions or enrollment.

  • Familiarity with psychoeducational assessments or screening tools.

  • Experience with Ravenna or similar admissions management systems.

  • Teaching or classroom experience, particularly with students with learning differences.

  • Knowledge of dyslexia and other language-based learning disabilities, or the Orton-Gillingham approach.

  • Experience in parent-facing and student-facing roles.

Main Working Relationships:

  • Internal: Director of Enrollment Management, Enrollment Data Manager, Director of Outplacement, Principal, Academic Leadership, Classroom Teachers (for screening support).

  • External: Prospective families, psychologists, and evaluators (scheduling coordination), feeder school contacts.

WORKING CONDITIONS:  

This position operates in a professional office environment. The role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets. Employees are expected to work primarily indoors in a climate-controlled setting.

The job typically involves prolonged periods of sitting, working at a computer, performing repetitive tasks such as typing and data entry, and organizing or maintaining physical and/or electronic filing systems. Occasional standing, walking, bending, or lifting of light items (up to 30 pounds) may be required.

Work is generally performed during standard business hours, though occasional overtime or extended hours may be necessary to meet deadlines or business needs. The environment is usually quiet to moderately busy, with frequent interaction with colleagues, clients, or vendors via in-person meetings, phone calls, or electronic communication.
