Assistant Director of Outplacement

Job Description

The Schenck School is a specialized school serving students with dyslexia in grades K-6. Students attend the school for a focused period of 2-3 years before transitioning to mainstream educational environments. POSITION OVERVIEW:  

The Assistant Director of Outplacement serves as a primary support to the Director of Outplacement, capable of managing a designated caseload of outplacing families independently. This role ensures that families feel supported, informed, and prioritized during an emotionally complex transition. By owning the form pipeline, managing routine parent communication, and coordinating administrative processes, the

Assistant Director frees the Director for high-touch student assessment, school advocacy, and strategic relationship-building. The Assistant Director serves as the relational anchor for families navigating the outplacement process.

PRIMARY RESPONSIBILITIES:

Family Support & Communication

  • Serve as the primary point of contact for routine parent inquiries regarding outplacement status, timelines, forms, and next steps.

  • Respond to all non-complex parent inquiries within 24–48 hours.

  • Provide a calm, supportive presence for families experiencing stress or uncertainty during the outplacement process.

  • Manage a designated caseload of outplacing families (e.g., by grade level), providing end-to-end support from initial outreach through placement confirmation.

  • Escalate complex questions, placement concerns, or emotionally sensitive situations to the Director of Outplacement.

  • Support families with form completion, deadline reminders, and process clarification.

Form Pipeline Management

  • Own the outplacement form tracking system, ensuring all required documents move through the pipeline on schedule.

  • Track teacher recommendation forms from distribution through completion; follow up with teachers on outstanding items in conjunction with the Enrollment Data Manager.

  • Coordinate psychological testing materials: track receipt from families, ensure forms reach psychologists, and monitor return of updated evaluations in conjunction with Enrollment Data Manager.

  • Maintain outplacement checklists for each student to ensure no steps are missed.

  • Prepare materials for outplacement meetings with teachers and administration.

  • Provide weekly summary reports to the Director on form completion rates versus deadlines during peak season.

Record Keeping & Data Management

  • Oversee current student transcript requests; coordinate with Enrollment Data Manager on processing and distribution.

  • Coordinate with the Enrollment Data Manager on maintaining the master list of outplacement students and school choices.

  • Review application status and placement outcome records for accuracy; flag discrepancies to the Enrollment Data Manager for systems corrections.

  • Ensure outplacing student files are complete; collaborate with the Enrollment Data Manager on file organization and documentation standards.

  • Manage records and recommendation materials sent to receiving schools.

  • Coordinate with the Enrollment Data Manager to ensure outplacement data is accurately captured for institutional reporting.

Administrative Coordination

  • Oversee public school reports for outplacing students; coordinate with Enrollment Data Manager on preparation and submission.

  • Coordinate with the Enrollment Data Manager on clerical and logistical preparation for outplacement events and parent meetings.

  • Ensure materials and documentation are prepared for Director's family consultations; collaborate with Enrollment Data Manager on preparation tasks.

  • Support scheduling and logistics for outplacement-related meetings.

Collaboration & Communication

  • Meet regularly with the Director of Outplacement to review priorities, student status, and upcoming deadlines.

  • Communicate proactively when deadlines are at risk or when workload requires prioritization guidance.

  • Partner with the Enrollment Data Manager on data handoffs and systems updates.

  • Collaborate with teachers and the Principal's office on form collection and student information.

QUALIFICATIONS:

Required

  • Bachelor's degree from an accredited institution.

  • Minimum 3 years of experience in an educational, counseling, or family-facing professional setting.

  • Experience supporting families through significant educational decisions or transitions.

  • Familiarity with learning differences and the families who navigate them.

  • Strong interpersonal, verbal, and written communication skills.

  • Demonstrated ability to manage multiple tasks and competing deadlines.

  • Strong organizational and problem-solving skills.

  • Excellent written and verbal communication skills.

  • Proficiency with database systems, tracking tools, and standard office technology.

  • Demonstrated ability to work independently and manage own priorities within established frameworks.

  • Diplomacy and discretion in handling confidential student and family information.

Preferred

  • Previous experience in independent school admissions, student services, or parent-facing roles.

  • Familiarity with outplacement, school transitions, or educational counseling.

  • Experience with Ravenna, Blackbaud, or similar school management systems.

  • Knowledge of dyslexia, learning differences, or special education contexts.

Main Working Relationships:

Internal: Director of Outplacement, Principal, Enrollment Data Manager, Director of Enrollment Management, Classroom Teachers, Academic Leadership.

External: Parents of outplacing students, psychologists (for testing coordination), receiving

school contacts (for document submission).

WORKING CONDITIONS:  

This position operates in a professional office environment. The role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets. Employees are expected to work primarily indoors in a climate-controlled setting.

The job typically involves prolonged periods of sitting, working at a computer, performing repetitive tasks such as typing and data entry, and organizing or maintaining physical and/or electronic filing systems. Occasional standing, walking, bending, or lifting of light items (up to 30 pounds) may be required.

Work is generally performed during standard business hours, though occasional overtime or extended hours may be necessary to meet deadlines or business needs. The environment is usually quiet to moderately busy, with frequent interaction with colleagues, clients, or vendors via in-person meetings, phone calls, or electronic communication.
