Providence Academy is a Christian independent school in Leesburg, Virginia, founded in 2013 with a mission to provide “uncompromising excellence in educating and equipping students with Truth.” The school currently serves over 200 students in Junior Kindergarten through 8th grade.

The Opportunity
Providence Academy is seeking a Director of Finance & Operations to support the financial health and daily operations of the school.
 
This is a hands-on, mission-driven leadership role responsible for managing the school’s business office, including core financial functions, payroll, and basic human resource responsibilities. The Director of Finance & Operations works closely with the Head of School to ensure the school operates smoothly and responsibly, while also supporting faculty, staff, and families with professionalism and care.
 
This role is an important member of the school’s leadership team, collaborating with the Head of School, department leaders, and the Board of Trustees. The position also serves as a key point of contact for families regarding tuition, billing, and financial assistance.
 
At its core, this role helps ensure that the school remains both financially responsible and operationally effective, while staying aligned with its mission.
 
Key Responsibilities
 
Financial Management
  • Oversee day-to-day accounting operations with accuracy and integrity
  • Manage accounts payable and receivable
  • Prepare monthly and quarterly financial reports, including budget-to-actual comparisons
  • Reconcile all accounts (bank, credit card, and other accounts) on a monthly basis
  • Assist in developing and managing the annual budget in partnership with the Head of School
  • Monitor cash flow and support responsible financial decision-making
  • Serve as the primary liaison with the school’s CPA for tax filings and annual reviews  
 
 
 
Financial Forecasting & Cash Flow Planning
  • Preparing cash flow forecasts 
  • Assisting with long-term financial planning 
  • Supporting enrollment and staffing scenario planning 
  • Providing financial insights and recommendations to leadership 
 
Tuition & Financial Assistance
  • Manage tuition billing and payment processes
  • Serve as a primary point of contact for families regarding billing questions
  • Collaborate with the Director of Admissions in assisting families through the financial assistance process
  • Work with the Head of School to align financial aid decisions with the school’s budget
 
Payroll & Human Resources Support
  • Process payroll and support employee onboarding
  • Assist with benefits administration and employee records
  • Support development of staff contracts and compensation tracking
 
Operations & Coordination
  • Help oversee key operational areas such as vendor relationships, insurance, compliance, and security
  • Support coordination of facilities and service providers as needed
  • Develop and maintain clear and organized business office systems, financial controls, and procedures
 
Leadership & Communication
  • Support the Head of School with financial reporting for Board and Finance Committee meetings while providing insights or recommendations for leadership decision-making
  • Collaborate with the Development Director to track donations and contributions
  • Communicate clearly and professionally with faculty, staff, families, and vendors
  • Serve as a trusted, responsive resource for the school community on business and financial matters

Qualifications

  • Solid accounting and financial management experience
  • Experience with QuickBooks (Online preferred) and Microsoft Office
  • High attention to detail and commitment to accuracy and confidentiality
  • Strong organizational and time-management skills
  • Clear and professional communication skills
  • A collaborative, service-oriented mindset
 
Preferred (but not required):
  • Experience in a school or nonprofit (501(c)(3)) setting
  • Familiarity with systems such as FACTS or Bloomerang
  • HR or payroll experience
  • CPA or advanced certification
 
 
 
 
 
Experience
  • Minimum of 3 to 5 years of relevant experience in accounting, finance, or business operations
 
A Note on the Role
 
As is often the case in a small but growing independent school environment, this role combines both day-to-day operational execution and higher-level strategic financial leadership. The ideal candidate will be comfortable and enjoys moving fluidly between detailed transactional work, organizational planning, financial analysis, and broader institutional decision-making while enjoying the significant relational aspects that come with serving students, families, and staff.
 
The Head of School is open to considering a flexible staffing structure for this role, including the possibility of a part-time Director of Finance and Operations supported by an additional part-time junior accountant
